When should a refund be requested via BSPlink?

Involuntary refunds need to be requested through a refund application via BSPlink (ARC and TCH agents need to contact Hahnair for refund authorisation at accounting@hahnair.com).

Voluntary refunds can be processed via GDS. In case assistance is needed, agents may submit a refund application via BSPlink.

For refunds processed via GDS, agents are responsible to process the refund correctly according to the applicable fare rules and Hahnair reserves the right to issue ADMs for miscalculations adding a charge of 30 EUR per ticket.

Hahnair’s refund service is free of charge which means no handling fees apply for refund applications submitted. Hahnair processes refund applications within 14 days after all necessary information have been submitted by the travel agency.

How do I apply for a refund?

Click here to obtain detailed information on how to process a refund for HR-169 tickets. A copy of the complete PNR history is always required to process the refund request.


What should be considered regarding involuntary refunds?

To qualify for an involuntary refund, all flight segments of the ticket must be canceled, including all alternative segments, before departure. Otherwise, the refund will only be processed according to the fare rules.


Can a free-of-charge refund be approved for double issued tickets?

If two tickets were issued by mistake in the same PNR with identical fare, routing and flight dates for the same passenger name, submit a refund application and attach all necessary documentation. Refunds will be approved, provided this is in accordance with the terms and conditions of the operating carrier.  

In case of double tickets issued from different PNRs, the refund can be processed according to the fare rules.

Private passengers receive assistance from the travel agency or online travel platform where they purchased their ticket.

For any support regarding changes or refunds of a purchased tickets, it is necessary that private passengers always contact the travel agency or online travel portal where the ticket was purchased.  

Should the travel agency or online travel portal require support from Hahnair, it is their responsibility to contact the Hahnair Service Desk on behalf of the private passenger.

The operating carrier rescheduled a flight issued on HR-169 or changed the departure times of the booked flights. What can be done?

In case of involuntary changes (operating carrier reschedules the flight), the travel agent needs to reissue the HR-169 ticket. This is free of charge. The following text needs to be added in the endorsement box: “INVOL REISSUE DUE TO SC XX/YYY DD/MMM (flight number and date). The travel agent also needs to set an I-indicator in front of the fare calculation (I-XXX YY ZZZ40.00NUC40.00END).

All ticket details of the new ticket must match the ones from the original ticket. The new flight needs to be offered with the same operating carrier in the same booking class.

If the travel agent receives a UN/UC without alternative, they need to rebook to the next available flight (before or after the cancelled one) with the same carrier, same booking class and same routing.

If the alternative offered to the travel agent is unacceptable for the passenger, the travel agent needs to send an email to service@hahnair.com. It is mandatory to investigate if an involuntary refund can be granted or if the alternative given is considered reasonable by the operating carrier and therefore must be accepted. If the airline considers the alternative reasonable, a cancellation is considered a voluntary action and a refund will be processed according to fare rules.

Some airlines do not authorize refunds in case of schedule changes.
